The Real Cost of Venue Equipment Isn’t the Sticker Price—It’s Downtime

You’re Making the Equipment Decision at the Wrong Moment

Every unit looks good in the sunlight. The crates are clean. The invoice matches the purchase order.

That’s exactly when the real cost of the purchase begins—not when the machine is new, but when it has to keep working.

I’m a quality and brand compliance manager at IGT. I review equipment before it reaches commercial customers—roughly 250 unique machine configurations a year. What Changes When You Buy for Uptime

Once you see equipment as an uptime decision, the evaluation changes. You don’t need a 20-page matrix. You need a short list of questions that expose the part of the purchase nobody photographs:

  • What is the rated duty cycle? Is this a commercial-grade unit built for continuous public use, or a residential product with a commercial label?
  • Which parts fail most often, and are they in stock? How long is the average wait for a repair part?
  • What is the service response window? Is it a committed date or a vague estimate?
  • Who trains your staff? Can someone demonstrate how to set up a lat pulldown machine, service a water rowing machine, or run a diagnostic on a slot cabinet?
  • For gaming equipment: how are games added or updated, and does the platform meet the regulatory requirements of your jurisdiction while keeping content relevant?

No machine is failure-proof, and any vendor who tells you otherwise is overselling. But there’s a difference between a failure that is planned for and one that surprises everyone. A planned repair has a known cost, a committed date, and a machine back in service quickly. An unplanned outage has no date, no cost, and no accountability.

The most expensive machine on a floor is rarely the one with the highest list price. It’s the one sitting dark because someone saved a few hundred dollars on the part of the purchase that only matters after installation.
